How to Update a Proposal After Sending It to a Client
First determine whether you’re correcting an error or changing the offer. A typo can usually be fixed directly. A change to deliverables, fees, dates, or responsibilities deserves a new review.
Reconcile the whole proposal
- Save the version the client received and label it with a date.
- List the requested changes and the sections they affect.
- Update the scope, fee, timeline, and assumptions together.
- Preview the revision as a recipient and verify the link and access settings.
- Tell the client what changed and which version to review.
Use a change note
Fictional example: the client asks for eight interviews instead of six. Update the interview count wherever it appears, confirm recruiting responsibilities, and record any fee and schedule effects.
I’ve updated the proposal to include eight interviews. The revised schedule and fee are in sections 3 and 4. Please review the version dated [date] and confirm whether you’d like us to proceed.
Keep accepted versions available
If your proposal tool supports a stable link, you can direct the client to the same URL after confirming the new version is visible. Preserve any accepted or signed copy separately and use the amendment process agreed with the client for changes after acceptance.
