Four Proposal Follow-Up Emails You Can Copy

Follow up on the date you agreed with the client. Use available reader activity to choose a useful question, and use the client’s words when they’ve already told you what they need.

No known read

Hi [name], I’m checking that the proposal reached you. Here’s the link again: [link]. If your team needs a PDF or a different reviewer needs access, I’m happy to help.

One recorded visit

Hi [name], is [agreed review date] still a good time to discuss the proposal? I can walk through [scope item] or answer questions by email if that’s easier.

Repeat activity

Hi [name], if you’re circulating the proposal internally, I can send a short summary of the scope, fee, and next decision for your team. Would that help?

Explicit feedback

Hi [name], thanks for flagging [specific issue]. I can [proposed change], which would affect [fee or timeline]. If that matches what you had in mind, I’ll send the revised version for review.

Keep the message grounded

Several visits may come from the same person. An anonymous visit doesn’t identify a reviewer, and missing activity can mean the client reviewed a downloaded copy. Keep the email focused on access, a decision, or a question the client can answer.
