A Pre-Send QA Checklist for AI-Drafted Client Proposals
Assign one person to approve the final proposal. Have them review the exact copy the client will receive with the source notes and estimate at hand.
Copyable approval checklist
- Facts: Verify names, project goals, dates, credentials, and claims against your source notes. Remove unsupported estimates and promises.
- Scope: Confirm deliverables, quantities, review rounds, exclusions, and who provides each input.
- Fees: Recalculate subtotals, optional items, and the total. Confirm currency and payment milestones.
- Timing: Check that dates agree across sections and depend on realistic client inputs.
- Confidentiality: Remove internal comments, other client names, and data the recipient should not see.
- Access: Test the client link as an outside reader with the intended permissions. Check the mobile view and any attachments.
- Next step: Name the decision you need, who owns it, and the review date.
Record the version you approved
Write down the version date, reviewer, and any open exceptions. In a fictional example, an AI draft promises weekly reporting while the estimate includes two status calls. The reviewer reconciles the deliverable, price, and schedule before approving the final version.
